Terms and Conditions
We have a lot of experience operating in Vietnam and we only work with trusted partners. But sometimes unavoidable delays arise. You agree not to hold Velo Vietnam liable should you experience delays because of the actions of other people or entities beyond our control – roads blocked due to landslides; weather-related delays or obstructions; delays caused by vehicle breakdowns or crashes for example.
A deposit of 30% is required to secure a booking. The full balance must be paid 90 days prior to the tour start. This full balance must include any bike hire or single supplement charges. Velo Vietnam reserves the right to cancel your trip if the full amount is not paid on time.
Where possible we will accept your last minute booking no later than 20 days prior to your departure date. In this case full payment is required. Permission for last minute bookings is subject to Velo Vietnam’s discretion.
Should you wish to cancel your trip, you agree to forgo any deposited amount. This is necessary so we can recoup costs associated with the work we’ll already have done organising your trip.
While any amount transferred to Velo Vietnam is refundable at the sole discretion of Velo Vietnam, we use the following non-binding criteria as a general guide:
- Deposits are refundable at the sole discretion of Velo Vietnam.
- For cancellations, a minimum of 60 days’ notice prior to trip departure is required, and must be made in written form. This notice commences from the day your cancellation note is received. Cancellation will be approved by Velo Vietnam only after receiving documentation. Your trip will then be deemed canceled and a cancellation charge of $100 will be deducted from the full fee paid.
- If any person leaves a trip for any reason whatsoever, either voluntarily or involuntarily, there will be no refund. We will make no refunds for any meals, accommodation or services not used.
- Should you require other changes to your original tour, the person that booked the tour must submit a written document with changes required. While every effort will be made, changes cannot be guaranteed.
- Less than 60 and more than 30 days notice: 50% refund
- Less than 30 days: no refund
We’ll do everything humanly possible to solve any disputes that may arise in a sensible and convivial way. But should you still wish to have a dispute with us you agree that it will be settled under Vietnamese and/or Australian law.
Velo Vietnam’s trips are based on twin share accommodation. This means a single room supplement charge will apply if you do not have someone to share accommodation with, or if you choose to stay in a single room.
Itinerary and changes
Sometimes unforeseen things happen. We may need to make changes to your itinerary, accommodation, schedule, departure/arrival dates and locations, modes of transport etc in order to ensure your safety or convenience. You permit Velo Vietnam to make any changes we deem reasonable. These changes may occur prior to, or after, departure for your trip. You agree that this is only reasonable and will not hold Velo Vietnam liable for these changes and the potential for missed opportunities the changes may create. Additionally, you agree to be liable for any additional costs or charges, should any arise because of the change(s).
Our partners and their responsibility and liabilities
We may use third party providers to assist and/or carry out your adventure. As mentioned above under Delays, you agree not to hold Velo Vietnam responsible for any mistakes that our third party providers may make. That means you accept that we are not responsible for their mistakes and will not hold us liable. These mistakes could occur in relation, but not limited, to: accommodation, flights, insurance, food, gear, cars/transport, products and souvenirs purchased, representations about weather/water etc.
As a cyclist, you understand that you are embarking on a potentially dangerous activity. We require you to have insurance and to give us your policy provider details prior to the start. If you do not have insurance, you allow us to cancel your trip and recover from you any costs we have incurred. You also agree that your insurance will include evacuation and medical expenses. We require you to submit proof you are insured before you commence riding with Velo Vietnam. Be sure to let us know your insurer’s contact details and your policy number at the time of signing your waiver or before.
Fitness and health
You acknowledge that you are engaging in activities that may have serious negative health outcomes. Be sure to be fit. You agree to be fit, healthy and skilled enough for your trip and not make any false representations in this regard. This means it is your responsibility to tell us about any pre-existing medical condition/disability.
As a cyclist, you understand that your life can depend on your gear being in top condition. It’s your responsibility to have a qualified mechanic see to it that your bike is not going to fail when we are in the mountains far from any bike shop or decent hospital. The same applies to your personal equipment, including clothing, helmet, shoes, cleats, and necessary spares. Velo Vietnam has a limited number of essential spares such as tubes, tyres, chains and other parts available for purchase on the road at reasonable prices. But we can’t be held responsible if your ride ends early because of poorly maintained kit or just bad luck.
Release and Indemnity Form
We’ll ask you to sign a Release and Indemnity form before riding with us. This is a requirement, and we won’t be able to take you out on the road without it. A sample Release can be viewed on our website.
Passport and visa
You must have a passport with at least 6 months validity from your return date. It is your responsibility to have a valid Vietnamese visa with sufficient duration to cover your trip. Vietnam currently offers visa waivers to several nationalities. It is your responsibility to check if you require a visa to visit Vietnam or, if exempt, to check that you will be granted a sufficient amount of time on arrival to complete your Velo Vietnam tour. We value your privacy as much as we do ours. We won’t share your information for any other purpose than to organise your trip or to meet legal requirements.
We can’t take anyone below 18 years of age as a cyclist on a Velo Vietnam tour.
You agree that Velo Vietnam may use images of you taken during your trip without seeking your permission beyond the indemnity and release form and without compensation to you.
